Takeoff and estimating software

How to do a construction takeoff

A takeoff is three jobs: get the drawing in, check what was measured, and hand clean quantities to your pricing sheet.

  1. 01

    Upload the PDF

Upload the plan set as a PDF. Sheets exported from CAD measure straight from their lines. Scanned sheets are read with image recognition and flagged for a closer look.

  2. 02

Check the scale and each quantity

Confirm the scale against one dimension you know, such as an overall length. Then select each quantity to see the walls, areas or symbols it was measured from, and fix anything that looks wrong.

  3. 03

    Export your bid

Export the reviewed quantities to CSV or Excel, grouped by trade and unit. Add your supplier prices, waste factor and labor rates in your own sheet to finish the estimate.

What is a takeoff in construction?

A takeoff in construction is the list of quantities measured from the plans before a job is priced: lengths in linear feet, areas in square feet, and counts of doors, windows, fixtures or devices. Estimators take each item off the drawings, group it by trade and unit, then add waste and prices to build the bid.

A quantity takeoff records what the drawings show. A material takeoff turns those quantities into what you order, such as sheets, studs or boxes of screws. A digital takeoff does the measuring on the PDF instead of with a scale ruler on paper, and keeps each number tied to the line or area it came from. If reading the sheet is the hard part, start with the blueprint reader guide.

Construction takeoff services, software or a scale ruler?

Five ways to get quantities off a residential plan set. Compare how long each takes, how you check the numbers and what you end up holding.

OptionTime per plan setHow you check the numbersFiles it takesWhat you get
Scale ruler and a spreadsheet Hours, measured by hand Measure again yourself; nothing records what was measured Printed sheets at a known scale Your own spreadsheet
Desktop takeoff software, licensed per seat Fast once set up; each seat needs training You trace each item and can review it on screen PDF; some also open CAD files Quantities and estimates inside the program, Excel export
Outsourced takeoff service Turnaround set by the service, often days Spot-check their marked-up sheets Whatever the service accepts, usually PDF A marked-up PDF and a quantity sheet
ChatGPT or another chat model Seconds Hard to check: it reads labels but does not measure the geometry, so lengths can be guessed PDF or image upload A text answer that is not linked to the drawing
ScaledPlans Minutes to measure, plus your review Select any quantity to see what it was measured from; unclear scale is flagged Vector or scanned plan PDFs; photos for Manual J and panel work Quantities by trade, CSV or Excel, an estimate, Manual J report, site plan or single-line diagram

Times describe a typical residential plan set and vary with the drawings. Whatever you choose, check the scale before you price.

Contractor estimating software for residential trades

Most contractor estimating software was built for the office of a general contractor: a seat per estimator, a training course and a database of assemblies that takes weeks to set up. Residential trades bid differently. A drywall sub, an HVAC installer or an electrician often prices the job at night, from a PDF the builder sent that afternoon, and needs a number before the walk-through.

ScaledPlans starts where that work starts: the plan PDF. Lengths and areas come from the drawing's vector lines, so a wall is measured from its geometry instead of being guessed by a language model. Scanned sheets go through image recognition first and are flagged for an extra check. Room names, door tags and schedules are read as text and compared with the counts on the sheet. Each quantity stays linked to the line or area it came from, so you can select a number and see what was measured.

From there the output depends on your trade. Drywall and paint crews get wall and ceiling areas they can carry into the drywall calculator or a material list. Framers get stud and plate counts like the ones in the framing calculator. HVAC contractors start with a load: the HVAC load calculator shows the method, and the Manual J calculator explains what a full room-by-room report needs. Electricians can work from the electrical load calculator and a panel schedule template, then use electrical estimating software for device counts. Fence, deck, pool and solar installers need a site plan for permit drawn on the real lot.

You keep your prices. ScaledPlans does not guess supplier costs or labor rates. It hands you reviewed quantities and a CSV or Excel file, and your own sheet does the pricing. That keeps the estimate yours and makes every line traceable when a builder asks where a number came from.

It is not built for large commercial bid packages or heavy civil work. It is built for the residential plan sets small crews see every week: a few sheets, a clear scale bar and a scope you can check in one sitting.

Construction takeoff software FAQ

What is takeoff software?

Takeoff software measures lengths, areas and counts from digital plans so you can price materials and labor for a bid. Keep each quantity tied to its drawing, unit and trade scope so you can check it before pricing.

What is the difference between quantity takeoff and material takeoff?

A quantity takeoff measures what the drawings show: 121 LF of exterior wall, 882 SF of ceiling, 6 doors. A material takeoff turns those quantities into what you order, such as 64 sheets of 4×12 board with a 10% allowance. Keep the two on separate lines so waste never hides inside a measurement.

What is a materials takeoff list?

A materials takeoff list records the materials needed for a defined scope, with quantities in units such as LF, SF, sheets and each. Net measurements and ordering allowances belong on separate lines. Add your supplier prices and labor to turn that list into an estimate.

How do you perform quantity takeoffs?

Set the scale from a known dimension, then measure lengths, areas and counts sheet by sheet, grouped by trade and unit. Mark each item on the drawing as you go so nothing is counted twice. Total the quantities, check them against the schedules, and only then add waste and prices.

How accurate is the takeoff, and how do I check the scale?

Accuracy depends on the drawing. Vector PDFs measure from their own lines; scanned sheets carry more error and get flagged. Before you rely on any number, check the scale against a dimension you know, like an overall length. Then select each quantity to see what it was measured from. We publish no accuracy percentage: your review is the check.

Does it work with scanned plans as well as vector PDFs?

Yes, with more checking. PDFs exported from CAD measure directly from their lines. Scanned or photographed sheets are read with image recognition, which is less precise, so those quantities are flagged and the scale check matters more. If you can get the original PDF from the architect, use it.

Which file types can I upload?

Plan sets as PDF, vector or scanned, are the main input. Manual J work also takes room dimensions and a few photos, and a single-line diagram starts from photos of the panel. A permit site plan starts from the property address and the project type.

What happens to my plans and my clients' drawings?

Your plans are used to prepare your documents and nothing else. We do not sell them, share them with other customers or publish them as examples. Write to us from the contact page to delete a project and its files.

Will the permit office accept a Manual J from ScaledPlans?

The residential code asks for a Manual J load calculation or another approved method. Many offices accept any recognized method, some check the software against ACCA's list, and a few do not ask at all. Ask your office before you submit. Reports meant for a permit get a human check and list their inputs so a reviewer can follow the math.

Is construction estimating software different from takeoff software?

Takeoff software measures quantities. Estimating software prices them with materials, labor and markup. Many tools do both. ScaledPlans measures the takeoff and builds an itemized material list from it, while your prices and labor rates stay in your hands, so the estimate reflects your suppliers instead of a national average.

What is the best construction estimating software?

It depends on what you bid. Large commercial firms often use desktop suites with assembly databases and per-seat licenses. Residential subs usually need faster plan measuring, quantities they can check and an export into the pricing sheet they already trust. Compare options on the same drawing and scope; the table above shows the trade-offs.

Are there any free takeoff software?

Free tools exist, usually with limits on projects, exports or measuring features. Our 8 construction calculators are free with no signup: drywall, siding, framing, HVAC load, AC tonnage, duct sizing, electrical load and a panel schedule. Each one shows its formula, so you can check the math.

Can ChatGPT do a construction takeoff?

A chat model can read labels and schedules but should not be trusted to measure a drawing. We measure from the drawing geometry and you confirm every quantity on the overlay. Verify a known dimension and resolve unclear scale before relying on the result.

Can AI do construction estimates?

AI can prepare quantities and a draft estimate. Prices, waste and labor stay yours to set and check. Review scope, local supplier quotes and exclusions before sending a bid.

Can I use it for commercial jobs?

It is built for residential plan sets: houses, additions, ADUs, decks and garages. Large commercial bid packages and heavy civil work have not been tested and are better served by commercial suites. If a job sits in between, check the scale and quantities on one sheet before relying on the rest.

Do I need to install anything?

No. ScaledPlans runs in the browser on Windows, Mac or a tablet, so the same takeoff opens in the office and on site. There is no desktop license to install and no setup on each computer.

What is the best construction takeoff software?

The best fit depends on your trade, plan volume and budget. Compare how each tool handles measurement review, your material units and spreadsheet exports. Use the same drawing and scope when comparing options.
